Document intake

Drop in a 485 — or let it arrive straight off the fax line — and it lands in the right client folder, read, indexed, and ready before you open it.

DocFlow reads each document as it arrives — a faxed recert, a scanned physician order, a PDF from a portal — and files it under the correct client automatically. Optical character recognition turns the page into text the moment it lands, so the document is searchable and sorted before anyone touches it. No manual filing, no misplaced pages, no wondering which folder it went in. And the fax line feeds intake directly: connect a fax modem to the DocFlow machine and every inbound fax is answered, rendered to a clean PDF, and filed on its own — no printer tray, no scanner, no walking pages across the office.

Automatic data capture

Patient, provider NPI, and document type are pulled straight from the page. No retyping, no transcription errors.

The fields that matter — patient name, the ordering provider's NPI, and the document type — are read directly off the page and attached to the record as structured data. That structure is what makes everything downstream work: the dashboard groups by client, reminders find the right document, and the audit trail names exactly what changed. Because the data comes from the page rather than a keyboard, a transposed digit in an NPI never makes it into your records.

Tracking

Live status tracking

One dashboard shows every document as Signed or Pending, updated the moment something changes.

Instead of a spreadsheet someone has to remember to update, DocFlow keeps a single live view of every document in flight. The instant a provider signs, the row moves from Pending to Signed — no refresh, no reconciliation. You see at a glance what is outstanding, what is coming due, and what is already filed.

Reminders

Automatic reminders

Unsigned documents nudge themselves — by text and email — well before the deadline, so nothing slips.

Every unsigned document carries its own deadline, and DocFlow watches the clock so you do not have to. When a signature is coming due, it sends a reminder by text and email — to the right person, about the specific document — and keeps a light touch until it is signed. The chasing that used to eat an afternoon happens quietly in the background.

Signature

Mobile e-signature

Providers review and sign from their phone in one tap. The clock stops the instant they do.

A provider gets a link, opens the document on their phone, and signs — no app to install, no portal login to recover. The moment they do, the signature is captured, the status flips to Signed, and the reminder stops. Fewer steps for the provider means faster turnaround for you.

Audit

Compliance audit trail

Every event is timestamped and immutable — an answer already on file when a surveyor asks.

Behind every document is an append-only log that records who did what, and when — intake, capture, each reminder, the signature, the filing. Entries cannot be quietly edited or removed after the fact. Access is role-based, so people see only what their role allows, and retention is configurable to match your agency's policy. When a surveyor asks when an order was signed, the answer is a log entry, not a reconstruction from memory.

Assist

On-device help assistant

Ask how anything works — statuses, deadlines, signing, roles — and get an answer on the spot, without a support ticket.

The dashboard's Help tab is a built-in assistant that explains DocFlow and reports live facts about your own system — how many documents are pending, how many signatures are outstanding, how things are configured. It runs entirely on your machine, on the same local AI that reads your documents, and it is built so it can only see counts and settings — never a patient record. Every question it answers is logged to the same audit trail as everything else.

A separate, admin-only Troubleshoot tab can optionally use a cloud AI for system diagnostics. It ships off by default and stays off until an administrator explicitly enables it; when live, the administrator's questions and a non-PHI diagnostic bundle — counts, versions, and configuration flags, never patient records, file names, or log lines — are sent to the Anthropic API, and every call is written to the same audit trail.
